Terms and Conditions

These terms explain the agreement between you and Egypt Tours Club when you use our website, request a quotation, confirm a booking or travel with services arranged by us.

1. Agreement and contracting party

These Terms and Conditions apply to bookings and travel services arranged under the Egypt Tours Club brand. Egypt Tours Club is operated by Vagus Travel Co., an Egyptian tour operator holding Tourism License No. 988 and an IATA membership.

In these terms, “Egypt Tours Club”, “we”, “us” and “our” refer to the operating business. “You”, “traveller”, “customer” and “lead traveller” refer to the person making the booking and, where relevant, every person included in it.

By submitting a booking, paying a deposit or other amount, accepting a written proposal, or using confirmed services, you confirm that you have read and accepted:

  • these Terms and Conditions;
  • the written itinerary, quotation and booking confirmation;
  • the applicable Cancellation Policy;
  • our Privacy Policy; and
  • any clearly disclosed special conditions relating to a hotel, cruise, flight, permit, event, attraction or other supplier.
The written booking confirmation takes priority for tour-specific details, including dates, traveller numbers, accommodation, inclusions, payment schedule and any specially agreed condition.

2. Booking process

  1. You submit an enquiry or select a published tour.
  2. We provide availability, itinerary details, inclusions, exclusions and the applicable price.
  3. You review the traveller names, dates, room arrangements, services and payment terms.
  4. You accept the proposal and make any required deposit or payment.
  5. We issue written confirmation after the required services have been secured or accepted for operation.

The person making the booking acts as the lead traveller and is responsible for:

  • having authority to book on behalf of all listed travellers;
  • providing accurate details for every traveller;
  • sharing the booking terms and travel information with the group;
  • making payments by the stated deadlines; and
  • telling us promptly about any correction or special requirement.

We may ask you to create a website account so you can review booking details and communications.

3. Prices, quotations and included services

Prices are based on the itinerary, travel dates, traveller numbers, room occupancy, service category, currency, supplier availability and taxes known when the quotation is issued.

  • A quotation is not a confirmed reservation unless clearly stated otherwise.
  • Prices may change before confirmation if availability, exchange rates, taxes, fees, fuel costs or supplier rates change.
  • After confirmation, additional charges may apply if you request a change, add a service or provide information that changes the booking basis.
  • Single supplements, optional activities, permits, tips, meals, drinks, visas, insurance and personal expenses are excluded unless specifically listed as included.

Promotional prices, coupon codes and special offers are subject to their stated validity dates, eligible products, traveller requirements and availability. Unless explicitly permitted, discounts cannot be combined.

4. Deposits, payment schedules and accepted methods

The payment schedule shown in your quotation or booking confirmation applies to your reservation. Deposits form part of the total price and may be used immediately to secure hotels, flights, cruises, guides, transport, permits and other services.

Payment is treated as received only when cleared funds reach the designated account or when an authorised payment is successfully completed. You must not send payment to an account or link that has not been confirmed through an official Egypt Tours Club communication channel.

Never send complete card-security information by ordinary email, WhatsApp or social media. Use only the secure payment method provided for the booking.

5. Booking confirmation and documents

A booking is confirmed only when we issue written confirmation after receiving any required payment and securing the relevant services. An automated website acknowledgement may confirm receipt of a request but does not necessarily confirm supplier availability.

Review the confirmation immediately and notify us of any error in:

  • traveller names and passport spelling;
  • arrival and departure dates;
  • hotel category and room occupancy;
  • pickup points and flight details;
  • included and excluded services; or
  • special requests and accessibility needs.

Charges resulting from late corrections, including flight or hotel amendment fees, may be passed to the customer.

6. Changes requested by you

We welcome requests to add, remove, customise or rearrange services. All changes are subject to operational feasibility, availability, supplier conditions and any change in price.

  • Submit changes in writing through email or an agreed official communication channel.
  • A change is not confirmed until we accept it in writing.
  • Supplier amendment fees, fare differences and administrative costs may apply.
  • Changing the date, destination, lead traveller or major itinerary components may be treated as a cancellation and new booking.
  • Non-refundable tickets, permits, event reservations and promotional rates may not be changeable.

If a booking is postponed to a mutually agreed date, the revised booking may become non-refundable or subject to new supplier terms. We will explain this before confirming the postponement.

7. Changes made by Egypt Tours Club or a supplier

Travel arrangements may occasionally need to change because of availability, opening hours, weather, traffic, security measures, government instructions, flight schedules, navigation conditions, maintenance, local events or supplier decisions.

Where reasonably possible, we will provide an equivalent or better alternative. Depending on the significance of the change and the circumstances, possible solutions may include:

  • adjusting the order or timing of visits;
  • substituting an equivalent hotel, cruise, vehicle, guide or activity;
  • offering an alternative date or service;
  • providing an appropriate price adjustment; or
  • refunding the affected service where required and where recoverable.

Minor itinerary adjustments that do not materially reduce the overall service do not normally create a right to cancel the complete booking without charge.

8. Cancellation, no-show and refunds

All cancellation requests must be submitted in writing and should include the booking reference. The effective cancellation date is the date on which Egypt Tours Club receives the written request.

Cancellation charges depend on:

  • the type of booking;
  • the number of days before the service;
  • whether hotels, flights, cruises or special permits are included;
  • whether travel falls during Christmas, New Year, a major event or another peak period; and
  • the non-refundable amounts already committed to suppliers.

No-show and unused services

A traveller who does not arrive at the agreed time and location, arrives too late to use a confirmed service, voluntarily leaves a tour, or chooses not to use an included service is normally not entitled to a refund for the unused portion.

Refund processing

Approved refunds are returned through an appropriate method after supplier deductions and any applicable fees have been confirmed. Banking, card-processing and currency-conversion charges outside our control may not be refundable. Processing time may depend on banks, card networks, PayPal or other providers.

9. Traveller responsibilities

You are responsible for ensuring that you and every traveller in the booking:

  • provide complete and accurate personal, passport, flight and contact information;
  • arrive at meeting points and departure locations on time;
  • follow the reasonable instructions of guides, drivers, representatives and site authorities;
  • respect local laws, customs, religious sites, archaeological areas and community standards;
  • inform us in advance about mobility, medical, dietary or other requirements that could affect service delivery;
  • protect personal belongings, passports, money and valuables; and
  • pay for damage or costs caused by their deliberate, reckless or negligent conduct.

The lead traveller should provide an emergency contact and remain reasonably reachable before and during the journey.

10. Passports, visas, health and entry requirements

Each traveller is responsible for obtaining and carrying a valid passport, visa, permit, vaccination document and any other entry or travel requirement applicable to their nationality, transit points and itinerary.

Information provided by Egypt Tours Club about visas, entry rules, health formalities or local requirements is general guidance and may change. Travellers should verify current requirements with the relevant embassy, consulate, airline, health authority or government source before travel.

Egypt Tours Club is not responsible for costs or losses resulting from denied boarding, denied entry, incorrect documentation, immigration decisions or failure to meet a legal travel requirement.

11. Travel insurance

Comprehensive travel insurance is strongly recommended and may be required for certain programs. Suitable cover should normally include:

  • trip cancellation and interruption;
  • medical treatment and emergency evacuation;
  • personal accident and repatriation;
  • baggage, passports and personal belongings;
  • travel delay and missed departure;
  • activities included in the itinerary; and
  • pre-existing medical conditions where relevant.

Egypt Tours Club does not provide insurance advice unless a separately authorised service is clearly offered. It is the traveller’s responsibility to understand the policy exclusions and claim process.

12. Conduct, safety and removal from a service

We may refuse or end a traveller’s participation when their conduct creates a significant risk to themselves, other travellers, staff, suppliers, property, cultural sites or the normal operation of the service.

This may include violence, threats, harassment, serious intoxication, illegal activity, repeated refusal to follow safety instructions, damage to property or conduct that causes major disruption.

Where participation is ended for such reasons, the traveller may be responsible for resulting costs and may not receive a refund for unused services.

Reasonable safety decisions made by guides, drivers, captains, site authorities, airlines, hotels or government agencies must be followed.

13. Third-party suppliers

Many travel services are performed by independent suppliers, including hotels, cruise companies, airlines, train operators, transport providers, guides, restaurants, attractions and activity operators.

We select and coordinate suppliers with reasonable care, but each supplier may apply operational rules, check-in requirements, baggage limits, safety conditions and service policies. The supplier remains responsible for performing the service it provides, subject to applicable law.

Where supplier terms conflict with a specifically agreed written Egypt Tours Club condition, contact us before booking so the applicable rule can be clarified.

14. Events beyond reasonable control

Egypt Tours Club is not responsible for failure or delay caused by events that could not reasonably be prevented or controlled, including severe weather, natural disasters, epidemics, pandemics, war, terrorism, civil unrest, government action, border closure, strikes, airspace restrictions, transport disruption, utility failure, fire, flood or closure of a site or route.

In such circumstances, we will try to assist with practical alternatives, rebooking or recovery of supplier funds. Additional accommodation, transport, meals, visas, testing or other costs may be payable by the traveller or claimed through travel insurance unless the law or written booking terms require otherwise.

15. Responsibility and limitation of liability

Egypt Tours Club is responsible for arranging the services confirmed in writing and for exercising reasonable care in selecting and coordinating suppliers.

To the extent permitted by applicable law, we are not responsible for loss caused by:

  • the traveller’s own act, omission or breach of these terms;
  • an unrelated third party whose actions could not reasonably be predicted or prevented;
  • events beyond reasonable control;
  • failure to obtain correct documents, insurance or medical advice;
  • personal belongings left unattended, lost or stolen; or
  • services independently purchased outside the confirmed booking.

Nothing in these terms excludes or limits liability that cannot legally be excluded, including liability for fraud or any mandatory consumer right.

Package and consumer rights can differ by country. Mandatory rights applicable to a traveller cannot be removed by these terms.

16. Problems during travel and complaints

If a problem occurs, tell your guide, representative or our operations team immediately so there is a reasonable opportunity to investigate and correct it while the service is taking place.

If the issue is not resolved, submit a written complaint as soon as reasonably possible after the service, including:

  • the booking reference;
  • the traveller’s full name;
  • the date and service concerned;
  • a clear description of the issue;
  • what was reported during the trip and to whom; and
  • relevant photographs, receipts or supporting documents.

Delaying notification may affect our ability to investigate the matter, obtain supplier records or offer a practical solution.

17. Website use, intellectual property and privacy

Website content, including text, itineraries, branding, layouts, graphics and original media, is owned by or licensed to Egypt Tours Club unless otherwise stated. It may not be copied, republished or commercially exploited without written permission, except as allowed by law.

Tour descriptions and website information are prepared in good faith but may contain minor errors or become outdated. The written quotation and confirmation govern the actual booking.

Use of personal information is explained in our Privacy Policy. Third-party links and embedded services may be governed by their own terms and privacy notices.

18. Governing law, enforceability and changes

These terms are governed by the laws of Egypt, subject to any mandatory consumer protection law that applies to the traveller and cannot legally be excluded.

If any provision is found invalid or unenforceable, the remaining provisions continue in effect. A delay in enforcing a right does not waive that right.

We may update these terms for future bookings. The version accepted when a booking is confirmed normally applies to that booking unless a change is required by law or is mutually agreed in writing.

When is my Egypt tour booking confirmed?

Your booking is confirmed when Egypt Tours Club issues written confirmation after receiving any required deposit or payment and securing the applicable services.

Can I change my itinerary after booking?

You may request changes. They are subject to availability, supplier rules, operational feasibility and any revised price or amendment fee. A change is confirmed only when accepted in writing.

How much deposit is required?

The required deposit depends on the booking. Day tours with domestic flights and multi-day packages normally require advance payment, while some overland day tours may use a different arrangement. The exact amount appears in your quotation or confirmation.

Which payment methods does Egypt Tours Club accept?

Depending on the booking, available methods may include Visa, Mastercard, PayPal, bank transfer and approved cash payments in EGP, USD or EUR.

What happens if I cancel my booking?

The applicable deduction depends on the booking category, cancellation date, peak period and supplier commitments. Review the separate Cancellation Policy and send the request in writing with your booking reference.

Do I need travel insurance?

Comprehensive travel insurance is strongly recommended. It should cover cancellation, medical treatment, emergency evacuation, baggage, delay and the activities included in your itinerary.

Who is responsible for visas and passports?

Each traveller is responsible for obtaining valid passports, visas and other required documents. Entry requirements should be verified with official authorities before travel.

What should I do if there is a problem during the tour?

Tell your guide, representative or the Egypt Tours Club operations team immediately so there is an opportunity to investigate and resolve the problem while the service is taking place.
